Position Overview

The Finance & Operations Intern will have the opportunity to learn and apply the fundamentals of finance operations including financial reporting, accounts payable and accounts receivable. They will enhance their organizational and communication skills by engaging in diverse administrative tasks.  This experience will strengthen their ability to build relationships with colleagues and members in a work environment.

This is a 4-month contract position starting in September (or earlier). Ideally, the successful candidate will be available for part-time training in August. The role follows a hybrid model, with 2-3 days per week in office. 

Responsibilities

Office Operations
  • Prepare reports and surveys
  • Coordinate meetings
  • Publish position postings
  • Maintain the member database across all platforms (eg. ADNA, Clubcore, Perkopolis)
  • Monitor the shared inbox
  • Send and receive mail and packages
  • Maintain a clean, tidy, well-stocked and organized office environment
  • Maintain CMAC manuals (e.g. procedure, employee and Board) by updating documentation on a regular basis
  • Entry of member credits in accordance with certification program policies

Finance

  • Assist with day-to-day finance operations, including accounts payable/receivable
  • Process cheque deposits
  • Enter data, issue invoices and track payments for members and sponsors
  • Create sponsorship invoices
  • Reconcile transactions and assist with month-end closing procedures
  • Support invoice processing, vendor tracking, and expense analysis
  • Prepare internal reports and organize financial documentation
  • Take on special finance-related projects as needed
Other
  • Conduct research on potential strategic initiatives as directed by the CEO
  • Work with the CEO/COO on special projects as required

Requirements

  • Current enrolment in a university degree or post-secondary program in Hospitality Management, Business Administration, Accounting, Finance, or a related discipline
  • Solid understanding of accounting
  • Exceptional attention to detail and a high degree of accuracy
  • Excellent communications skills (written and oral)
  • Strong organizational abilities and time management skills
  • Top-notch administrative and project management skills
  • Strong interpersonal skills that include listening, responsiveness and a professional, customer-service oriented approach to all situations
  • Ability to adapt to changing priorities and deadlines
  • Experience working with databases or CRM systems
  • Advanced computer skills including MS Office software
  • Understanding of the hospitality and/or club management industry considered an asset
  • A minimum of two (2) years’ related work experience
